The Business Challenge

As Co-Founders of Saphineia, Craig and Elliot were wearing too many hats. Like many entrepreneurs, they were working seven days a week, juggling everything from onboarding, payroll, IT support, etc for their growing team. The workload was unsustainable and pulled them away from high-level strategic work.


On top of that, they were cautious about bringing on outside help. With so much of their work involving sensitive financial data and operational decision-making, the co-founders were concerned about finding someone they could fully trust to handle important tasks like managing financial sheets, updating forecasts, and interacting directly with their internal team.

The Solution 

YSO partnered with the Saphineia team to provide a high-level Virtual Assistant who could immediately take ownership of core administrative and operational workflows. Bel, their dedicated VA, was onboarded through YSO’s thorough and structured onboarding process, ensuring she was fully prepared to step into the role with confidence and clarity.


From the start, Jenna, YSO’s Account Manager, worked closely with Craig and Elliot to understand the business’s pain points and opportunities for delegation. With just a few emails and quick calls, Jenna was able to map out exactly what needed to be offloaded and seamlessly transferred that knowledge to Bel—saving Craig and Elliot hours of training time.


Bel quickly began managing key responsibilities such as onboarding employees and contractors, scheduling, updating financial trackers in Excel, creating and sending invoices in QuickBooks, tracking expenses in Expensify, coordinating with customer support on IT issues and updating CRM records in Pipedrive. She also supported internal documentation of processes—all while maintaining a high level of responsiveness and attention to detail.
