The Business Challenge
While Breanna had built strong and trusted relationships with her clients, she struggled to keep up with the growing administrative demands of the business. Tasks such as sending timely follow-up emails, scheduling appointments, calling customers to gather application information, and managing client communications often fell behind due to her focus on providing exceptional, personalized service.
Additionally, Breanna lacked structured workflows and a Customer Relationship Management (CRM) system to organize and streamline her processes, making it even more difficult to manage her growing client base and maintain the responsiveness her clients expected. These inefficiencies created bottlenecks that limited her ability to scale the business effectively.
The Solution
YSO partnered with Integrity Financial to transform their operations by setting up Redtail CRM, a platform tailored to financial services, and integrating workflow automations to streamline daily tasks. We developed a comprehensive Standard Operating Procedure (SOP) that guided the CRM setup and ensured consistency in managing the business.

To further support Breanna, we sourced and hired a Virtual Assistant with a background in insurance, making it easier for them to quickly adapt to the role. The VA was fully trained on Breanna's account within 1.5 months and took over the majority of administrative tasks, including client follow-ups, appointment scheduling, and data collection. This allowed Breanna to focus her energy on building client relationships and growing her business.
The Results
With YSO’s support, Breanna was able to scale Integrity Financial by onboarding institutions like banks to offer her financial services at scale and partnering with another insurance firm to expand her offerings. Freed from administrative burdens, she focused on business development, increasing her visibility by booking more podcast appearances.
