About the Company

Employ Law Group is a boutique employment defense firm that litigates and advises employers exclusively on employment law matters. Founded in 2025 by partners Jamie and Ryan, the firm was brand new when they came to YSO, growing fast with no administrative support and no bandwidth to find any.

The Business Challenge

Jamie and Ryan launched their firm with deep legal expertise and immediate client demand, but zero operational infrastructure. Every intake, every court deadline, every engagement letter, every invoice landed on one of them personally. A single new client matter that should have taken 30 minutes to set up was regularly consuming two or more hours of Jamie's time because every step of the process was hers to figure out and execute. On top of that, the firm was simultaneously learning new software, building workflows from scratch, and navigating the procedural requirements of multiple California courts, all without any support. They needed a legal assistant, but recruiting, vetting, and onboarding one was its own full-time project, one they had no capacity to take on.


They came to YSO referred by their CPA, with one clear need: Take the entire hiring process off their plate.

The Solution 

YSO handled the full recruitment process and placed a full-time legal VA with EmployLaw Group in December 2025. For the first three months, YSO also provided hands-on operations support, working directly with Jamie to map, test, and refine workflows in real time. This approach allowed YSO to identify gaps early and build streamlined processes, giving the VA a strong foundation to step into and continue developing. The VA took ownership of:


  • Client intake and matter setup: Opening new matters in Clio, pulling Secretary of State records to verify client information, preparing and sending engagement letters via DocuSign, and ensuring billing contacts were correctly set up from the start

  • Court calendaring and deadline management: Pulling dockets via LexisNexis CourtLink, entering jurisdiction-specific court rules in Clio, and managing all litigation deadline triggers and cascading reminders across multiple California counties

  • Document preparation: Building discovery response shells, formatting pleadings to court specifications, redacting third-party information in Adobe Pro, bate-stamping production documents, and maintaining organized document filing in Clio

  • E-filing and service: Submitting filings through InfoTrack, tracking filing status, and routing stamped confirmation documents back into the correct matter in Clio

  • Billing support: Preparing monthly pre-bill CSVs for attorney review, generating invoice drafts in Clio, and sending approved invoices on a reliable cadence

  • Scheduling and third-party coordination: Arranging deposition prep meetings, coordinating with mediators and case managers, and managing logistics with court reporters and videographers

  • Inbox and calendar monitoring: Maintaining coverage when both partners were in hearings or consultations, flagging court date changes, and serving as a consistent second set of eyes across all active matters

The Results

After the onboarding phase, EmployLaw Group had the infrastructure and support to grow:


  • 80+ new clients onboarded: The VA played a direct role in every intake, from opening the matter to sending the engagement letter

  • 20+ hours per week freed up: A full workload of operational and administrative tasks shifted off both partners' plates

  • Client intake streamlined: What once took Jamie 2+ hours now runs end-to-end, fully handled by the VA
